    About the Institution

    The Long Island Museum (LIM) is a nine-acre museum located in Stony Brook, New York.  The LIM serves the Long Island community by preserving and displaying its collection of art, historical artifacts, and carriages; providing educational and public programming; and collaborating with a variety of other arts and cultural organizations. 

    Job Description:

    Under the supervision of the Director of Development , and working closely and collaboratively with other members of the department, this vital member of the Development Department performs tasks associated with special events, membership, facility rentals, and special projects. Responsible for processing donations/payments and the coordination of all departmental mailings. Supports the institution’s mission and its policies and procedures. Assists the Museum’s Communications department to promote development and membership initiatives by developing social media and marketing materials.

    RESPONSIBILITIES:

    Membership: In collaboration with the Director of Development, work to maintain and grow the LIM Membership Program, including tasks such as:

    Applications & Payments

    • Processing membership applications, renewals and lapsed member renewals.
    • Processing all payments associated with membership on Altru.
    • Keeping all files organized and updated.
    • LIMarts
    • Prepping for LIMarts Planning Committee Meetings and record minutes, 3 to 4 per year
    • Coordinating member programming
    • Coordinating the annual Members’ Exhibition, including opening reception
    • Facilitating Artist of the Month program
    • Members’ Receptions
    • Coordinating 3-4 Membership Receptions annually including event set up, catering & refreshments, procurement, supply purchases, and other tasks as needed
    • Coordinating invitation design and mailing
    • Applying for temporary beer and wine permit with NYSLA
    • Submitting event forms
    • Coordinating volunteers as needed
    • Facilitating end of event and clean-up
    • Annual Appeal:
    • Assist the Director of Development with the preparation of the Annual Appeal letter and the mailing of the same.
    • Process Annual Appeal payments and acknowledgement letters.
    • Special Events: Provide support to the Manager of Special Events for all events; i.e. Winter Gala; Golf; and additional events as needed.
    • Assist Manager of Special Events with prep for committee meetings, agenda, copies, assembling packets, setting up meeting room and refreshments. 

    In addition assist with aspects of actual events including:

    • Facilitate receipt, pick-ups and wrapping of all raffle prizes,
    • Purchase supplies, i.e. balloons, ribbon, wrapping paper and any other supplies needed for  development events.
    • Assist with errands to purchase paper goods, wine, soda, food, ice, etc.

    Assist the Manager of Special Events with support aspects of special events including, but not limited to, sponsorship solicitation, coordination of journal committees and meetings. Solicit raffle and auction items for events.

    • Ensure that all appropriate codes and account numbers associated with special events are accurately reflected in Altru.
    • Processing Gift-in-Kind donations
    • Process all payments on Altru and facilitate thank-you notes.
    • Coordinate volunteers for special events
    • Provide administrative support as needed.
    • Be present at all special events.
    • Follow up- payments, deposits, thank you letters, etc. 
    • Mailings: Coordinate and facilitate all departmental mailings including those for Annual Appeal; Events calendars; Invitations for Golf, Winter Gala, Special Events, and Exhibition Receptions; Lapsed Membership and Membership renewal mailings.
    • Run mailing list queries in Altru database
    • De-dupe mailing list
    • Coordinate with Communications department to send lists to Printing/Mailing company
    • Facility Rentals: Annually, there are wedding ceremonies; corporate events; meetings, and several wedding photo sessions.
    • Respond to inquiries
    • draft contracts
    • process payments
    • Coordinate details with renter
    • Cover or arrange coverage of all rentals, as appropriate

    Communications

    • Assist Director of Communications and Communications Associate with planning, creating and scheduling of social media content for development and membership initiatives.
    • Coordinate with Director of Communications and Communications Associate to create promotional and marketing materials for development and membership initiatives.
    • Institutional Interaction and Professional Development
    • Keeps privileged information confidential and represents the museum before the public in a manner, which shall, at all times, enhance the prestige and credibility of the museum.
    • Works cooperatively and productively to fulfill the institution's goals and objectives.  Completes work in a timely and professional manner.
    • Attends and assists with museum functions.
    • Attends staff meetings, and other meetings as appropriate.

    Other responsibilities as needed/Duties as assigned.

    Position Type: Full-Time

    Salary range: $21-$24 per hour
