    Visitor Experience Coordinator – 25 Hours Per Week ($20/hr)

    Planting Fields Foundation is currently seeking a Visitor Experience Coordinator to help provide organizational and administrative support for Planting Fields’ School Visits Program, Saturday Family Programming and Group Tours. This role is an excellent opportunity for the right individual to gain experience in project management, program development, curriculum development, and program evaluation. This position reports to the Director of Education and Engagement.

    This position is 25 hours per week. The role requires approximately 7 hours per week on Saturdays, overseeing public engagement within Coe Hall and the grounds and PFF Saturday Family Programming. The remaining 18 hours are administrative time. Days of the week are flexible as long as a set schedule is established and hours take place between 8:00AM and 5:00PM.

    Responsibilities:

    School Visits Program Administration

    Planting Fields is in the process of developing new interdisciplinary, inquiry-based school visit curriculum which we look forward to rolling out in the spring of 2020. Programs will be offered to local K-12 public and independent school partners. The Visitor Experience Coordinator is responsible for supporting the administration of these programs, contributing to the training and supervision of educators, and supporting the evaluation and development of curriculum.

    • ·        Oversee school outreach, visit booking, staffing, and data maintenance
    • ·        Liaise with teachers and school administrators to clearly communicate the expectations for upcoming school visits to Planting Fields
    • ·        Monitor and maintain all school visit program materials
    • ·        Support the onboarding, training, and staffing of new educators under the supervision of the Director of Education and Engagement
    • ·        Sit on the PFF Education Advisory Council, tasked with guiding the development of new guided tours and school programming.
    • ·        Support PFF curriculum development efforts

    Group Tours Program Administration

    Large groups of visitors to Planting Fields are encouraged to book their tours with us in advance. The Visitor Experience Coordinator is charged with fielding these requests and staffing the tours.

    • ·        Oversee outreach, visit booking, staffing and data maintenance
    • ·        Liaise with external partners to clearly communicate the expectations for upcoming group tours to Planting Fields. Communicate with internal colleagues including the Gift Shop Manager and House Manager.

    Saturday Family Programming Administration

    The Visitor Experience Coordinator will be charged with the oversight of the visitor experience in Coe Hall, on tours, and in Saturday Family Programs on Saturdays.

    • ·        Serve as Saturday House Manager and oversee Saturday Family Programs
    • o   Manage all aspects of visitor-facing operations, including opening and closing the house, and direct supervision of volunteers
    • o   Close Coe Hall with a report of visitors, ticket sales, and other data each day
    • o   Observe and evaluate Saturday volunteers and educators each spring and fall
    • o   Coordinate and support Saturday Family Programming

    Background/Qualifications:

    • ·        Bachelor’s degree
    • ·        A least 2 year of experience working in an administrative capacity with or within schools or cultural institutions.
    • ·        Ability to work diplomatically with colleagues, volunteers, and school partners
    • ·        Strong organizational skills and attention to detail
    • ·        Interest in data collection, analysis, and use in program design
    • ·        Comfort working with the public in person, on the phone, and online
    • ·        Experience with data entry and use of Outlook and Excel
    • ·        Able to meet deadlines and work on multiple projects with a high degree of accuracy
    • ·        Energetic team player with a great sense of humor
    • ·        Available to work on Saturdays. Weekday schedule is relatively flexible.

    Start date is March 1, 2020.
