Historic Site Office Manager

    POSITION:  Office Manager (NYS Park and Rec Aide 4)

    PAY RATE   $12.50 / hour

    LOCATION:  Crailo and Schuyler Mansion State Historic Sites (Rensselaer & Albany)

    NEGOTIATING UNIT:  CSEA (Operational Services Unit)

    TYPE OF APPOINTMENT:  Entry-level; Temporary/Seasonal; Year-round

    WORK SCHEDULE:   Mon-Fri with some weekend/ holidays as necessary (flexibility important). Position is 24 hrs./week, daytime schedule. 

    DUTIES AND RESPONSIBILITIES INCLUDE:  

    • Learning statewide and agency-wide financial accounting systems (SFS).  Processing multiple credit card reconciliations, timely entry of data into each system, and submitting documentation paperwork on tight deadlines.
    • Assisting with payroll duties by auditing timesheets and LATS and HRIS for accuracy of reported time, making sure timesheets are signed by the appropriate supervisor. 
    • Entering historic site revenue and attendance data and generating reports for site administrators.  Conduct and assist with regular safe counts and cashier counts for monthly audits.  Reporting any discrepancies to Historic Site Manager.  
    • Creating & maintaining spreadsheets for tracking Natural Heritage Trust donations and expenditures. Making NHT bank deposits in a timely fashion.
    • Assisting the site manager and the maintenance supervisor in updating the All Hazard Emergency Action Plan, the Violence Prevention in the Workplace Plan and the SDS Books.
    • The office manager will occasionally be asked to assist at the front desk, greeting visitors and assisting them appropriately. This may include operating the cash register, credit card machine, and having knowledge about merchandise and general information.  The office manager also assists with special events and holiday programs.  The office manager also assists in answering the telephone, directing calls appropriately, or generally assisting callers.
    • Maintaining digital and paper copy files and assisting site manager with filing duties.  Taking and satisfactorily completing all mandatory agency training courses.

    MINIMUM QUALIFICATIONS:

    • Must have good written, verbal communication, and excellent organizational skills.
    • Knowledge of Microsoft Office including Excel, Word, Outlook and PowerPoint.  
    • Ability to initiate and complete tasks with minimal supervision.
    • Professional and cooperative manner with both site visitors and staff at all times required. 
    • Driver’s license required.
    • Interest in museums /cultural institutions, museum work, and history a plus.

    Schuyler Mansion was home to Philip J. Schuyler, the renowned Revolutionary War general, US Senator, and business entrepreneur. He and his wife, Catharine Van Rensselaer, descended from affluent and powerful Dutch families. Together they raised eight children in this home. The Georgian structure, reflecting Schuyler's English tastes - was built on a bluff overlooking the Hudson River. Originally situated on an 80-acre tract of land, the grounds once included an orchard, a formal garden, and a working farm. Throughout the Schuyler family occupancy from 1763-1804, the mansion was the site of military strategizing, political hobnobbing, elegant social affairs, and an active family life.
