    Description

    Founded in 1791, the Albany Institute of History & Art is one of the oldest museums in the United States. It also is the major repository for the region's heritage, with nationally significant collections. The Albany Institute connects diverse audiences to the art, history, and culture of the Upper Hudson Valley through its collections, exhibitions, and programs.

    Position Overview
    As a member of the Development Department responsibilities include day to day and long-term operations of the department. The Development Assistant helps coordinate all public and private events held at the museum and elsewhere. Typical work week is Monday through Friday, 9 AM to 5 PM with flexibility to accommodate some nights and weekends. This position is public-facing and coordinates with other museum departments. Salary range for this position is $26,000 to $30,000 based on experience.

    Database:

    • Maintain all income records using the museum’s donor database
    • Create all donor acknowledgments and contact lists for additional donor touch points
    • Create reports related to giving trends
    • Compile donor lists and mailing lists
    • Keep all records up to date

    Department Coordination:

    • Process all income transactions for payment
    • Partner with Finance Office to ensure accuracy of records across multiple payment systems
    • Assist with creation and coordination of giving campaigns
    • Maintain office supplies and equipment
    • Maintain donor files
    • Maintain & update Board of Trustees manual and minutes of Board of Trustee meetings
    • Answer phone and email inquiries
    • Coordinate department mailings

     Special Events:

    • Assist in the planning and presentation of museum events and private rentals

    Miscellaneous:

    • Coordinate Summer Employee Reciprocal Program
    • Cover front desk shifts as needed
    • Assist Development Department e-commerce projects

    Other duties as assigned.

    Qualifications

    • Detail and deadline oriented
    • Excellent communication skills (telephone, written, and interpersonal)
    • Team player
    • Minimum of one year experience in a fundraising environment, preferably not-for-profit
    • Familiarity with donor databases
    • Proficiency in Microsoft Office Suite
    • Must be comfortable handling confidential information
